Office Manager

POSITION:          Office Manager (North Office)

                            (full-time 37.5 hours/week)

 

LOCATION:         Heartland Family Service

                            6720 N. 30th Street

                            Omaha, NE  68112

 

SUMMARY DESCRIPTION OF WORK   

Responsible for efficient functioning of office and serve as administrative assistant to program director.

 

PREFERRED MINIMUM QUALIFICATIONS:

  • High School Diploma
  • Six years experience
  • Strong computer skills in MS Office
  • Valid driver’s license

ACCOUNTABILITIES

  • Supervises support staff at North Office.
  • Coordinates support staff duties and responsibilities including, but not limited to, client file management, and program related copying and mailings.
  • Performs reception duties, accurately takes messages and gives appropriate directions to clients and general public; assists all visitors, clients, and staff in processing their inquiries.
  • Monitors fax machine, distributes incoming faxes and assists in outgoing upon request; receives and distributes incoming agency mail; and prepares outgoing daily agency mail.
  • Provide support services to all Program Directors at the North Omaha office.
  • Ensures that counseling client databases are maintained per established procedures.
  • Completes and submits monthly attendance report and weekly time cards.
  • Ensures that supplies are maintained at adequate levels, and facility is monitored and needed repairs are reported to Director of North Omaha Program Services for execution.
  • Makes weekly bank deposit and forwards weekly transmittal to Fiscal Department.
  • Displays a courteous and caring attitude at all times to the clientele, volunteers, and visitors of the Agency.
  • Cooperates and collaborates with program area staff, volunteers, and other Agency staff.
  • *Is dependable and punctual regarding scheduling and attendance.
  • Abides by all specific program and Agency procedures, policies, and requirements.
  • Develops personal and program related skills through participation in internal and external training   opportunities including printed material and audio and/or visual media.
  • Performs other program related duties as assigned.
